Print Services Allow Sheriff’s Office to Spend Taxpayer’s Money Judiciously

  • Client: Located in Baton Rouge, Louisiana, the East Baton Rouge Sheriff’s Office is led by Sheriff Sid Gautreaux and is responsible for enforcing the laws of Louisiana within East Baton Rouge, as well as maintaining the East Baton Rouge Prison.
  • Situation: With copiers from Canon, Kyocera, etc. and printers from Dell, HP, etc., EBRSO had a mish-mashed printing fleet. Because of this, there were hundreds of types of printer cartridges and consumables inventoried and maintained; a full quarter of which were obsolete. A true picture of costs on printing and copying across different locations was lacking.
  • Solution: As their lease expired, EBRSO did away with both owning and leasing equipment. Printing and copying were set up with an established price under managed services that were managed by General Informatics. Under the Page Pack program, everything from installation to server setups and consumables replacement/repair work was conducted automatically.
  • Benefit: EBRSO saved about 18% on its printing and copying costs, freeing up the IT department’s resources. With the same user interface on all machines, users could take full advantage of each different machine. With proactive and direct repairs from Xerox, the up-time of the machines drastically improved. Additionally, the built-in scanners were integrated with SharePoint to provide document management services.
